About the role

The GapTech Administrative Assistant/Office Coordinator is a Pleasanton (PTN) based role and responsible for providing administrative support for the TechOps Leader and team as well as providing secondary support to other GapTech Corporate Departments on an as-needed basis.

This role is also responsible for supporting employee and contractor work space planning and the organization and coordination of the Pleasanton office operations, procedures and resources to facilitate organizational effectiveness and efficiency. Approximately 75% of time will be supporting the VP of TechOps and team and 25% on office coordinator duties.

What you'll do

  • Manage daily workflow for TechOps Leader (calendar, email, voicemail, phone, contacts, group/team meetings, expense, filing, travel, presentations, etc.) as necessary.

  • Arrange onsite and offsite meetings and events with applicable business partners (Corporate Operations) as necessary: Coordinate scheduling and logistics (coordinate conference rooms, equipment and catering as needed) creating agendas and providing documents and other meeting materials.

  • Coordinates with Corporate Operations and Security teams to ensure teams/projects working after hours are supported with HVAC, janitorial and after-hours access.

  • Stay abreast of organization changes; maintain accurate department organization charts as appropriate, phone lists, email & voicemail distribution lists and reporting relationship tool

  • Coordinate on-site GapTech space planning initiatives in Pleasanton based on collaboration with the GapTech space planning team. This include restacks, updating floor maps, routine updates of resource locations in WISP tool, etc. Coordinate the physical on-site onboarding of employees/contractors of equipment, credentials, and telecommunications in ensuring that their workspace is ready. Ensure resource is properly onboarded to be effective in their role.

  • General office duties such as copying, processing mail, filing, faxing - order supplies, office and computer equipment using iProcurement.

  • Other responsibilities include:

    special projects as required increasing the professional effectiveness and efficiency of the leaders and the overall team; cover for other administrative assistants during PTO.

Who you are

  • 5 years’ administrative experience preferred.

  • Excellent verbal and written communication skills.

  • Strong interpersonal/people skills; ability to establish and build partnerships with all levels of management and business partners.

  • Able to think independently, be proactive and take initiative with strong problem solving ability and follow up skills.

  • Exceptional time management, prioritization skills, and an ability to be flexible in reprioritizing.

  • Demonstrate professionalism and ability to maintain highest level of confidentiality.

  • Subject matter expert in Outlook and strong computer skills (e.g. Microsoft Office: Word, Excel, PowerPoint, etc.)
